Commercial HVAC Maintenance Checklist — Protect Equipment and Reduce Downtime

Clogged filters are the number one cause of commercial HVAC inefficiency and premature failure. A dirty filter restricts airflow, causing the compressor to work harder and overheat. In restaurants, manufacturing facilities, or buildings near construction sites, check filters monthly. Standard commercial filters should be changed every 90 days at minimum.

Rooftop condenser coils accumulate cottonwood fluff, leaves, plastic bags, and dirt that block airflow and reduce heat rejection. Clean with a coil cleaner solution and low-pressure water (inside out). Straighten bent fins with a fin comb. Severely fouled coils can increase energy costs by 30% or more.

Improper refrigerant charge reduces efficiency dramatically — a 10% undercharge reduces capacity by 20%. Check superheat and subcooling readings against manufacturer specifications. Inspect all connections, service valves, and the liquid line sight glass for bubbles (indicating low charge) or oil stains (indicating leaks).

Drive belts on blower motors wear, crack, and lose tension over time. A slipping belt reduces airflow and makes a squealing noise. A broken belt means zero airflow — and in summer, a rapid temperature rise. Keep spare belts on-site for quick replacement. Check tension with a belt tension gauge; deflection should be 1/2 to 1 inch.

Motor bearings that run dry overheat and seize. Most commercial HVAC motors have grease fittings — apply the correct type and amount per the manufacturer's lubrication schedule (typically annually). Over-greasing is as harmful as under-greasing; it forces grease past bearing seals and into windings.

Walk the accessible plenum spaces and inspect ductwork above ceiling tiles. Flex duct is especially prone to sagging, kinking, and disconnection. Reconnect separated joints with mastic sealant and mechanical fasteners — duct tape fails within 1–2 years on HVAC ductwork. Replace crushed or kinked sections entirely.

Zone dampers that are stuck open or closed create hot/cold complaints throughout the building. Manually cycle each damper to verify full travel. Compare supply air temperatures across zones — more than a 3°F difference between zones set to the same temperature indicates a balancing issue.

Dirty grilles restrict airflow and are the most visible HVAC maintenance failure to building occupants. Vacuum grilles in place or remove and wash with soap and water. Black streaks around ceiling diffusers indicate dirty filters or duct insulation breakdown — investigate the source.

A thermostat reading 3°F high means the system is overcooling every zone by 3°F — roughly 9% wasted energy. Place a calibrated reference thermometer next to each sensor for 15 minutes and compare readings. Recalibrate or replace sensors that are off by more than 2°F.

Building schedules change — new tenants, shifted hours, weekend events — but HVAC schedules often don't follow. An RTU running in occupied mode from 6 AM to 10 PM when the tenant leaves at 5 PM wastes 5 hours of full-capacity operation daily. Audit schedules quarterly against actual building use.

Safety controls prevent equipment damage and protect occupants but are only tested if someone deliberately tests them. Simulate each safety condition per manufacturer procedures and verify the system shuts down and alarms correctly. Document all tests for compliance records.

Federal law requires tracking refrigerant use for all commercial equipment containing 50+ pounds of refrigerant. Record the date, amount added, type, and technician for each service event. Equipment leaking more than the EPA trigger rate (currently 20% per year for comfort cooling) must be repaired within 30 days.

A complete service history helps technicians diagnose recurring problems and supports equipment replacement decisions. Track: date, technician, work performed, parts replaced, and any abnormal readings. Many building management systems can generate these logs automatically.

Commercial HVAC is not DIY. Schedule professional service twice annually — spring for cooling season prep and fall for heating season prep. A qualified contractor carries EPA certification, has commercial experience, and can perform the combustion analysis, refrigerant work, and electrical testing this checklist requires.
